Acceptable Use Policy

Rules for acceptable and prohibited use of the PSW Pro platform.

1. Overview

This Acceptable Use Policy describes the permitted and prohibited uses of PSW Pro. It forms part of and is incorporated into our Terms of Service.

By accessing or using PSW Pro, you agree to comply with this policy. If you do not agree, you must not use the Services.

This policy applies to all users, including administrators, workers, contractors, clients, and any authorized or unauthorized person who accesses the platform.

2. Authorized and Lawful Use

You agree to use PSW Pro only for lawful, professional, and authorized business purposes. You must:

  • Comply with all applicable laws, regulations, and professional obligations;
  • Access only records that you are authorized to view for your assigned duties;
  • Enter information only when you have lawful authority and required consent to do so;
  • Respect the privacy and confidentiality of clients, workers, and organizations;
  • Use the platform in a manner that does not harm or exploit any person.

Users may only access client, worker, or organizational records required for their authorized duties. Accessing records outside your assigned role or without a legitimate business need is a violation of this policy.

3. Account and Credential Security

You are responsible for protecting your account credentials. You must:

  • Use a strong, unique password;
  • Keep your login credentials confidential;
  • Sign out when using shared or public devices;
  • Promptly report suspected unauthorized access or credential theft;
  • Notify your organization administrator when a worker leaves or changes roles so access can be removed.

Sharing an individual login with another person or allowing multiple individuals to use one personal account is prohibited. Each authorized user must have their own account credentials where account-based access is available.

4. Prohibited Activities

4.1 Unauthorized access to records

You must not access, attempt to access, or attempt to discover client, worker, or organizational records that you are not authorized to view. This includes records assigned to other workers, other organizations, or records outside your role and permissions.

4.2 Information without authority or consent

You must not enter information about another person—including clients, workers, or care recipients—without lawful authority and any required consent. You are responsible for confirming that you have the right to collect, use, and store the information you enter.

4.3 Privacy violations

You must not use PSW Pro to violate privacy laws, confidentiality obligations, or organizational policies. This includes disclosing personal or health information to unauthorized persons, exporting records without authority, or using client information for purposes outside your professional duties.

4.4 Illegal, harmful, abusive, or discriminatory content

You must not upload, post, or store content that is illegal, fraudulent, defamatory, abusive, discriminatory, threatening, harassing, or that promotes hate or violence against any person or group.

4.5 Harassment and threats

You must not use PSW Pro to harass, bully, threaten, intimidate, or endanger any person, including clients, workers, administrators, or PSW Pro staff.

4.6 Malware and malicious code

You must not upload, transmit, or distribute viruses, ransomware, malware, spyware, or any other malicious code or harmful technology through the platform.

4.7 Security testing without authorization

You must not probe, scan, test, or attempt to discover vulnerabilities in PSW Pro without prior written authorization. Unauthorized security testing is prohibited and may be reported to law enforcement.

4.8 Bypassing security and permissions

You must not attempt to circumvent authentication, access controls, row-level security, rate limits, or any other security feature of the platform. This includes attempting to access data through unauthorized means or manipulating permissions to gain access to records outside your role.

4.9 Scraping and automated extraction

You must not scrape, crawl, harvest, or extract data from PSW Pro using automated means without prior written permission. This includes using bots, scripts, or automated tools to collect, copy, or extract information from the platform.

4.10 Reverse engineering

You must not reverse engineer, decompile, disassemble, or attempt to discover the source code, architecture, or internal workings of PSW Pro, except where such restrictions are prohibited by applicable law.

4.11 Excessive usage and platform disruption

You must not use PSW Pro in a manner that creates an unreasonable burden on platform infrastructure, interferes with normal operations, or disrupts service for other users. This includes excessive automated requests, bulk operations that degrade performance, or actions designed to overload the system.

4.12 Spam and unlawful electronic messages

You must not use PSW Pro to send spam, unsolicited commercial messages, or unlawful electronic communications. Any messaging features must be used professionally and only for legitimate business communications.

4.13 Impersonation and misrepresentation

You must not impersonate another person, misrepresent your identity, qualifications, employment, organization, or relationship with a client. You must not create accounts using false or misleading information.

4.14 Copyright and intellectual property violations

You must not upload or distribute content that infringes the copyright, trademark, or other intellectual property rights of any person or organization. See our Copyright and Intellectual Property Policy for more information.

4.15 Misuse of care or health information

You must not use care notes, client records, personal health information, or other sensitive data for purposes outside your authorized professional duties. This includes using such information for personal gain, disclosure to unauthorized parties, or any purpose not connected to the legitimate provision or coordination of care.

5. Enforcement

PSW Pro may investigate suspected misuse and take reasonable action, including:

  • Removing or restricting prohibited content;
  • Suspending or terminating access to the platform;
  • Preserving relevant records for investigation;
  • Reporting unlawful conduct to law enforcement or regulatory authorities where required or permitted by law;
  • Requiring a password reset or revoking active sessions;
  • Restricting features or access pending investigation.

Where appropriate, PSW Pro will try to provide notice and an opportunity to correct the issue. Immediate action may be taken when delay could create a security, legal, financial, or safety risk.

6. Reporting Suspected Abuse

If you become aware of suspected misuse, unauthorized access, privacy violations, or prohibited conduct, please report it promptly.

Email support@pswpro.ca with a description of the concern. If the matter involves a privacy breach or security incident, include relevant details so we can investigate appropriately.

PSW Pro will investigate reports in good faith and take reasonable action based on the circumstances.
